Senior Project Manager


This position is responsible for the day-to-day communication with clients and internal resources/partners, and assists in the development of the strategic vision and overall direction, execution of tactics, and financial management of assigned accounts. The senior project manager works with management to assure successful execution of projects and event tactics and is responsible for driving organic growth by managing multiple accounts, and execution of account initiatives.

The individual will manage multiple medical communication plans from strategic concept development through implementation and execution. The individual ensures projects across client accounts are executed on time and within budget.

Position Summary:

This position is responsible for the day-to-day management of assigned accounts. Responsibilities include:

  1. Responsible for overall project progress
  2. Manages the process for all new jobs including proper paperwork, team briefing, and communication
  3. Participates in client meetings/conference calls and generates appropriate follow-up, including contact reports, action requests, job open meetings, and other team meetings
  4. Follows up with client for approvals, materials, and information needed to proceed with a job
  5. Provides updates on project status with weekly status reports, appropriately prioritizes workload, identifies and resolves discrepancies, and ensures that jobs are delivered on time and on budget
  6. Providing team leadership, offering advice, guidance, and direction
  7. Acting as primary client contact, establishing and maintaining strong relationships
  8. Collaborating with management to ensure operations are being executed in accordance with company goals and objectives
  9. Managing and supervising relevant project management staff by setting goals and objectives, monitoring progress, measuring job performance, and encouraging growth
  10. Responsible for ensuring staff conduct regular project team meetings, agenda development, and time and events schedules.
  11. Provides briefing and direction to support personnel on allocated projects, where appropriate.
  12. Manages project budgets and oversees financial reconciliations.
  13. Supervises onsite program management when necessary.
  14. Identifies tactical opportunities that are consistent with client objectives and strategies
  15. Reviews and summarizes pertinent literature and competitive materials for the agency team
  16. Participates in strategy development discussions and client presentations
  17. Understands and operates within the agency's processes, procedures, and guidelines
  18. Demonstrates partnership with other areas of the agency, including medical and event management
  19. Understands the roles of each functional area in the agency and provides each with the appropriate tools, information, and time needed to produce the best work possible
  20. Understands the impact of client changes and is able to proactively develop options and requirements, so projects stay on track
  21. Monitors account profitability and assists the team lead with forecast projections
  22. Works with account management to coordinate deadlines and resolve any conflicts; communicates proactively, effectively, and frequently with all parties
  23. Maintains client billing binder with all pertinent information (eg, estimates, purchase orders, invoices)
  24. Maintains back-up job folders with individual project documentation
  25. Reviews project job list with the accounting team on a weekly basis to determine jobs that need to be billed, closed or purged

Minimum Requirements:

  • Bachelor's Degree (or at least 5 years of pharmaceutical industry or agency experience) or other comparable combination of education training and experience
  • Must be exceptionally computer literate: MS Office (Microsoft Word, PowerPoint, Excel)
  • Able to manage multiple projects with strict timelines, client management skills
  • Track record of increasing levels of responsibility and good judgment
  • Domestic and International Travel required
